What information we collect

When you first get in touch — by submitting an enquiry form, scanning a referral QR code, or being introduced by one of our Strategic Growth Partners — we collect your name, contact details (email and/or mobile), your preferred property location, and any notes you choose to provide.

If you go on to apply for a property purchase with us, we collect substantially more detail through our FactFind process, which our mortgage broker partners need to assess your application. This can include: date of birth, nationality and residency/visa status, National Insurance number, employment and income details, benefits, other income, existing debts and credit history, address history, and dependants. Where relevant, we also collect supporting documents you upload, such as proof of identity, proof of address, bank statements, payslips and tax documents.

We also keep a record of our correspondence with you (including emails) and notes relating to your case, so our team can support you consistently through the process.

  

Why we process your information

We use your information to respond to your enquiry, assess and progress your property purchase application, coordinate with mortgage brokers and property developers on your behalf, and keep you updated on your case. Our lawful basis for this is that it is necessary to take steps at your request before entering into a contract with you, and to perform that contract once your purchase is underway. Where you have given consent to be contacted (for example, from an enquiry form), we rely on that consent, which you can withdraw at any time by contacting us.

 

Who we share your information with 

We share the minimum information necessary with the following, only where relevant to progressing your case:  

  • The mortgage broker assigned to your case, so they can assess your Agreement in Principle and mortgage application.
  • The property developer, where relevant to a specific viewing, offer or reservation you are pursuing.
  • Brevo, our email service provider, which sends the email notifications and correspondence described in this notice on our behalf.
  • Kinsta, our website hosting provider, which stores our systems and database securely. 

We do not sell your personal information, and we do not share it with anyone else for their own marketing purposes.

  

International transfers 

Some of the service providers listed above may process data on servers located outside the UK as part of their own infrastructure. Where this happens, we rely on the safeguards those providers have in place for international transfers of personal data.

 

 

How long we keep your information 

We keep your information for as long as necessary to support your application and provide our services, and afterwards for as long as we have a legitimate business or legal reason to retain it (for example, dealing with a dispute or meeting a regulatory obligation). Where we no longer have a reason to keep it, we delete or anonymise it.

 

How we protect your information

Documents you upload and sensitive application details are encrypted at rest. Access to your case is restricted to the Xeltran staff and broker directly involved in it, and every access is logged.

 

Your rights

Under UK data protection law, you have the right to: access the personal information we hold about you; ask us to correct it if it’s inaccurate; ask us to delete it; ask us to restrict how we use it; object to our use of it; and ask us to provide it to you, or another organisation, in a portable format. If you’re unhappy with how we’ve handled your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.
